uManageClub is the club app your team uses for schedules, RSVPs, bench duty, announcements and polls. Most of the people in it are children, so we keep as little as we can and show it to as few people as we can.
The short version
- We keep only what the team needs to run: your child's name, group, date of birth, RSVPs, poll answers and bench duty.
- Parents don't create an account or give us an email or password.
- Only your club's leaders see full dates of birth. Other parents see names and age categories only.
- Each club's information is closed off from every other club.
- We don't sell information, show ads, or share it with other clubs.

Who is responsible
Your club decides who is on its roster and what it posts, and its leaders manage that information in the app. uManageClub runs the app for the club and looks after the information on the club's behalf. Questions about this policy go to hello@umanageclub.com; questions about your club's roster or posts can also go to your team leaders.
What we keep
About each skater, entered by the club's leaders:
- First and last name, and a parent or guardian's name
- The group they skate in
- Date of birth - used to work out their age and racing age, and to confirm a parent when they first add their child on a phone
- Gender, where the club uses it for race categories
What families do in the app: RSVPs to meets and events, poll answers, bench-duty turns, and anything a family posts in the club marketplace.
About leaders and coaches: their name, their email address and the password they choose for their uManageClub account. The password is stored by our sign-in provider in scrambled form - nobody at uManageClub can see it. We also keep when they agreed to our terms, and whether they asked for uManageClub news.
About the phone: parents don't sign up. The phone gets an anonymous ID the first time the app opens, and it's linked to a child once the parent enters the club code and the child's date of birth. If a parent turns on notifications, the phone also gets a notification ID so the club's messages can reach it.
Visit counts: the app counts how many times each page is opened in each group (for example, "Loved by 1,840 visits this season"). These counts don't include names.
Race results (clubs on the Pro plan): the app can show a skater's results from Speed Skating BC's public results page.

People in one club can never see another club's information. This is enforced by the database itself, not just by what the app shows on screen.
How we use it
- To run the club's app: schedules, RSVPs, bench duty, announcements, polls, the marketplace and notifications.
- To work out ages, racing ages and race categories.
- To keep the app working and secure, and to help a club when it asks us.
We don't sell information, show ads, build profiles of families, or use children's information for marketing. We only email leaders and coaches about their club and their account, plus occasional uManageClub news if they ask for it (they can stop it any time on their account page).
Keeping it safe
- Everything travels over encrypted (HTTPS) connections.
- Access is checked for every request: a phone can only read its own club's information, and only leaders can change it.
- Leaders and coaches sign in with their own account - a password, or a one-time code sent to their email. A leader's phone can be locked back to the parent view at any time.
- We use trusted service providers to host and run the app. They handle information only to provide that service to us.
Children's information
Children don't sign up for uManageClub. Their information comes from their club, and the app is used by their parents and team leaders. A child's full date of birth is never shown to other families. When a parent adds their child on a phone, the date of birth they type is checked against the club's records and is not shown back to anyone else.
How long we keep it, and removing it
- Information stays while the club uses the app.
- A team leader can remove a skater from the roster at any time. Removing a child from a phone only unlinks them from that phone.
- You can ask us to see, correct or delete your child's information, or your own, by emailing hello@umanageclub.com. We'll confirm the request with your club and reply within 30 days.
- If a club stops using uManageClub, it can ask us to delete its information.
Your choices
- Turn notifications on or off on your phone at any time.
- Answer only the RSVPs and polls you want to.
- Ask your club or us about anything on this page.
Changes to this page
If we change how we handle information, we'll update this page and the date at the top. For important changes, we'll also tell club leaders so they can let their families know.
